Community Hub, Harper’s Cafe


Terms of use

Use of the Hub and its facilities is subject to the following rules and should be read in conjunction with the Conditions of Hire.

1) Hiring the Hub

a) Please complete the booking form.

b) You will then be contacted by a member of the Harper’s Cafe team to confirm your booking.

c) Payment of the Security Deposit acknowledges acceptance of the Terms of Use and Conditions of Hire.

2) Opening Hours

The Community Hub is normally available between the hours of 9.00 a.m. and 6.00 p.m. However early opening (from as early as 6am) and late closing (up to 9pm) can be arranged upon request. Please contact events@harperscafe.org for more information.

3) Maximum Capacity

The Hub has a maximum capacity of 32 people and on no account shall this figure be exceeded.

4) Safety Requirements

Nothing shall be done which will endanger the users of the building, and the policies of insurance relating to it and its contents.

In particular:

a) obstructions must not be placed in gangways or exits, nor in front of emergency exits, which must be kept clear at all times;

b) fire-fighting apparatus shall be kept in its proper place and only used for its intended purpose;

c) no unauthorised heating appliances shall be used on the premises;

d) the First Aid box shall be readily available to all users of the premises.

5) Children’s Party Rules

Children up to 12 years old: adults must fully supervise children at all times.

Children aged 13+: There must be 2 (two) people over the age of 21 in the venue for the duration of the hire, and these people’s names must be given to the member of the Harper’s Cafe team in charge.

6) Supervision

There will always be a member of the Cafe to sign in and sign out after events. However, the Hub will not always be present throughout the events.

7) Right of Entry

The Hirer will only be allowed to enter the hall at the time specified on their booking confirmation. The Hirer is responsible for ensuring that time is included in their booking for setting up before the event and cleaning up and vacating the premises by the time specified on the booking confirmation.

Failure to follow these rules will be in breach of your hire agreement and may result in the loss of your deposit or an additional hire charge and block of all future hire of premises.

8) Failure to Vacate

The Hirer must vacate the premises on time along with their belongings to avoid additional charges being incurred. A rate of £24 per hour (or part thereof) will be applied to every hour if a booking overruns.

9) Alcohol

No alcoholic beverages are permitted to be bought, sold or consumed on any part of the premises.

10) Recorded Music Licence

Music can be played in the Hub.

11) Noise and Annoyance

The Hirer must ensure no excessive noise or annoyance is caused to local residents or other users of the building.

12) Loss of Property

Harper’s Cafe and the Community Hub cannot accept responsibility for damage to, or the loss or theft of, Hub users' property and effects.

13) Smoking & Vaping

Smoking or vaping is NOT allowed in any part of the building.

14) Cleaning and Security

The booking must include set-up and clear-up time and the Hub must be left as it was found.

All use of the Hub premises and facilities is subject to the users or Hirers accepting responsibility for returning furniture and equipment to their original position. All users shall also leave the premises and surroundings in a clean and tidy condition.

All rubbish bags must be taken home with the hirer.

All Hirers to ensure COVID secure guidelines and the premises risk assessment are followed.

Any failure to do this may result in loss of any deposit paid, or a cleaning charge being issued to the Hirer.
